Job Description

Are you passionate about making a difference? The WorkLink Employment Society is recruiting a full-time Human Resource Assistant - working primarily in our Westshore Office with the flexibility to work in both Sooke and Westshore locations as required. This is a term position pending the renewal of our current contract with the province for the delivery of WorkBC Services working up to 35 hours per week (Monday to Friday) providing support to team members in all locations (May be required to work some weekends); with a salary range of $28.31 to $ 29.16 hourly.

 

About The Society: WorkLink has provided government-sponsored employment services to the residents of the Victoria Capital Region’s Westshore (Colwood, Langford, Highlands, View Royal, and Metchosin) since 1978. In 2008, our services expanded to include the communities of Sooke and surrounding areas including Jordan River and Port Renfrew. We are also pleased to provide Indigenous outreach services to the First Nations Communities of Beecher Bay, T’Souke, and Pacheedaht. Our non-profit organization is funded through both federal and provincial government initiatives. WorkLink is a registered charity in the Province of BC, which is governed by a volunteer Board of Directors chosen from leaders in the community.

About the Position: The Human Resources assistant will play a crucial role in delivering and developing Human Resource Products and Services and assist in compiling, maintaining, and processing information relating to staffing, recruitment, training, and performance evaluations. The HR Assistant will also be an active part in building a safe and healthy workplace founded on principles of Workplace Wellness, Psychological Safety in the Workplace, and Bullying and Harassment prevention:

  • Assisting in the creation of Workplace Culture Assessments and Investigations
  • Developing training programs related to Human Resources and Leadership
  • Participation in Hiring Programs
  • Providing clients with appropriate resources for employers
  • Supporting HR on-demand services with clients

 

Key Duties for this position include:

  • Assists in correspondence and other HR documentation; transcribes material from rough copy, and may be required to perform basic editing and proofreading as requested;
  • Assists in the drafting of contracts, and job descriptions, employee file management, ensuring compliance with organizations policies and procedures and other regulatory requirements:
  • Assists in identifying/developing new procedures to manage change and increase efficiency within the organization;
  • Compiles/prepares materials for training programs, employee orientation, interviews, and meetings as required;
  • Ensures employees have access to high-quality services, based on external funding agreements/internal policies;
  • Ensures compliance with relevant privacy legislation and WorkSafe BC Health and Safety requirements.

 

Knowledge, skills, and abilities:

  • Ability to prioritize tasks, manage tight deadlines and thrive in a fast-paced environment;
  • Working cooperatively/effectively with others to share best practices that enhance organizational effectiveness;
  • Excellent communication, initiative, attention to detail, and problem-solving skills;
  • MS Office skills and knowledge of spreadsheets and database applications;
  • Proven ability to prioritize, problem solve, exercise initiative, and work independently and as a team member; and
  • Strong active listening skills, with the ability to uphold and maintain confidentiality

 

Required Qualifications:

  • A minimum of two (2) years of experience providing Human Resource support.
  • Ability to establish and maintain positive working relationships with others both internally and externally.
  • Current Vulnerable Sector Criminal Record Check; and valid BC Driver’s license.
  • Degree or Diploma in Human Resources studies or minimum two years related experience in a Human Resources or post-secondary environment, or equivalent combination of education and experience.
  • Demonstrated high-level written and verbal business communication skills.
  • Preference is given to those with CPHR designation.
