WorkLink Employment Society is recruiting for the Employment Services Coordinator Position - working primarily in our Westshore Office with the flexibility to work in both Sooke and Westshore locations as required. This is a term position with the province for the delivery of WorkBC Services working up to 35 hours per week (Monday to Friday) providing support to team members in all locations (May be required to work some weekends); with a salary range of $31.48 to $33.40 hourly.

About The Society: WorkLink has provided government-sponsored employment services to the residents of the Victoria Capital Region’s Westshore (Colwood, Langford, Highlands, View Royal, and Metchosin) since 1978. In 2008, our services expanded to include the communities of Sooke and surrounding areas including Jordan River and Port Renfrew. We are also pleased to provide Indigenous outreach services to the First Nations Communities of Beecher Bay, T’Souke, and Pacheedaht. Our nonprofit organization is funded through both federal and provincial government initiatives. WorkLink is a registered charity in the Province of BC, which is governed by a volunteer Board of Directors chosen from leaders in the community.

About The Position: The Employment Services Coordinator works closely with the Work BC Contract Manager playing a crucial role in overseeing and supporting the Employment Services Team aiding in job development, coaching, and training. The Employment Services Coordinator aids in providing oversight, risk management, and quality control, monitoring the day-to-day operations and service delivery of WorkBC.

Key duties for this position include:

  •  Act as the main employer liaison with respect to the wage subsidy program
  • Assist the Work BC Contract Manager with the preparation of monthly funders meetings/reporting and support all employment assistance deliverables within the contract Annual Business Plan.
  • Assist with the creation of an annual work training plan for staff.
  • Conduct regular team meetings as required to ensure staff is provided with timely communication related to service delivery, organizational updates, and training initiatives.
  • Coordinate staff to carry out the service quality and management plan activities as part of the overall staff onboarding process
  • Direct and refer the client to other programs and resources.
  • Explore and maintain a working knowledge of the primary information systems (ICM and ExtraNet)
  • Maintain knowledge and up-to-date capacity on the use and location of community agencies and other employment program providers.
  • Monitor ongoing ICM and policy training provided to new employees and employees of sub-contractors.
  • Participate in online education and webinars provided by Ministry.
  • Provide assistance to the team regarding programs, policies, and procedures.
  • Regularly review case files to ensure compliance with WorkBC guidelines
  • Support the Employment Services team, advising staff on program delivery best practices following the Work BC contract.

Knowledge, Skills, and Abilities

  • A strong understanding of professional standards of practice with respect to clients
  • Ability to assess situations to determine the importance, urgency, and risks, and make clear decisions which are timely and in the best interests of the client and organization
  • Ability to establish and maintain relationships with staff using coaching techniques and active listening skills; uphold and maintain confidentiality.
  • Ability to establish and maintain positive working relationships with others both internally and externally.
  • Comprehensive knowledge of WorkBC Contract requirements
  • Demonstrated ability to take initiative and problem-solve effectively
  • Demonstrated ability to work cooperatively and effectively with others to share best practices that enhance organizational effectiveness
  • Demonstrated Technical Skills: Use of complex databases, preferably ICM; Data analysis and reporting, Computer software – Microsoft Office
  • Excellent computer skills: MS Office and database entry
  • Exemplary organizational skills and ability to set priorities in a fast-paced work environment.
  • Proficient communication and customer service skills.
  • Sound current knowledge of employment services, job search strategies, and techniques
  • Strong job task planning and organization
  • Superior written and verbal communication as well as interpersonal skills

Preferred Qualifications:

  • A minimum of two (2) years of experience working with individuals with barriers to success, providing customer service, and assisting clients to navigate through detailed information.
  • A minimum of (3) years of direct experience in Employment Services
  • A minimum of two (2) years of previous leadership/coordinator experience required
  • Preference will be given to persons with a Social Work or related degree or diploma or equivalent training and experience in the Social and or Employment Services Sector
  • Current Vulnerable Sector Criminal Record Check; and valid BC Driver’s license
  • Strong administrative skills in Microsoft Office products, including Excel, Word, and Outlook
